When do we process personal data?

We process personal data in the following situations:

  • When you sign up for one of our newsletters
  • When you visit our websites and accept cookies for statistics, functional purposes or marketing
  • When you use our chatbot and choose to have answers or a conversation sent to your e-mail
  • When you send us a relevant enquiry about an internship

We only process information that is relevant to the specific purpose.

Newsletters

If you sign up for one of our newsletters, we process the information you provide when subscribing. This may include:

  • Name
  • E-mail address
  • Postcode

We use the information to send you the newsletter you have signed up for. We may also use information about opens and clicks to improve our newsletters and make the content more relevant to recipients.

VisitOdense currently sends out the following newsletters:

  • B2C newsletter in Danish
  • B2C newsletter in English
  • B2C newsletter in German
  • B2B newsletter in Danish
  • Storytellers, a network for local influencers

The processing is based on your consent. You can withdraw your consent at any time by unsubscribing via the link at the bottom of the newsletter.

We store your data for as long as you are subscribed to the newsletter. Inactive subscriptions are automatically deleted after 50 mailings, or after 10–11 months.

Our newsletter system is Peytz Mail.

Cookies, statistics and tracking

We use cookies and similar technologies on VisitOdense’s websites. Some cookies are necessary for the website to function technically. Other cookies are only used if you give your consent.

We use cookies and tracking technologies for necessary, functional, statistical and marketing purposes.

This includes, among other things:

  • Cookie Information for managing cookie consent
  • Google Analytics 4 for statistics and analysis
  • Google Tag Manager for managing tags
  • Server-side tracking via Stape
  • Google Ads and Google Marketing Platform for campaign measurement and marketing
  • Meta Pixel for campaign measurement and marketing
  • Pinterest Pixel for campaign measurement and marketing
  • Embedded third-party services such as video, map, booking and inspiration solutions

The purpose is to understand how the websites are used, improve the user experience, measure the effect of our content and campaigns, support local businesses and contribute to the goals of VisitOdense’s current tourism strategy.

We primarily use the information in aggregated form for statistics, analysis and reporting. However, the underlying technical information may in some cases be personal data. This may include cookie IDs, IP addresses, device information, browser information and online identifiers.

You can change or withdraw your consent at any time via the cookie settings on the website.

We use cookies in the following categories:

Necessary cookies

Necessary cookies are used to make the website function technically and to store your cookie settings. They cannot be deselected via our cookie settings, as they are required for the basic functions of the website.

Examples of necessary cookies include cookies from Cookie Information, which store your consent and cookie settings.

Functional cookies

Functional cookies are used for features that improve the experience on the website or support embedded features and third-party solutions.

Statistical cookies

Statistical cookies are used to collect information about how the website is used. Among other things, we use Google Analytics 4 for analysis and reporting.

The information helps us understand which pages and features work well and where we can improve the website.

Analytics data is stored for up to 14 months.

Marketing cookies

Marketing cookies are used to measure and target marketing and to evaluate the effect of campaigns. This may include the use of Google Ads, Google Marketing Platform, Meta Pixel, Pinterest Pixel and similar technologies.

Marketing cookies may be used to recognise a browser or device and show more relevant advertising across platforms.

Chatbot

On VisitOdense’s websites, you can use our chatbot to get help and inspiration for your visit to Odense.

The chatbot is provided by Karlachat.ai.

If you choose to have the conversation or answers sent to your e-mail, the chatbot processes the e-mail address you enter. The purpose is to provide you with a single overview of the information you have received during the conversation.

E-mail addresses entered in the chatbot are not accessible outside the system.

Job and internship enquiries

If you send an internship enquiry to VisitOdense, we process the information you send us. This may include your name, contact details, education, CV, application and any other information you choose to include.

We use the information to assess your enquiry and contact you about possible internship opportunities.

We only store relevant internship enquiries for as long as they are current for the upcoming internship period. Once we have chosen who we will have the pleasure of working with during the upcoming internship period, enquiries that are no longer relevant will be deleted.

We generally do not accept unsolicited job applications, as all positions are advertised.

Systems and suppliers

VisitOdense’s websites are built on VisitDenmark’s platform in combination with Combine’s CMS system.

We use, among others, the following systems and suppliers in connection with the websites:

Some suppliers process information on behalf of VisitOdense. Other suppliers may in certain cases be independent data controllers for the processing that takes place in their own systems and on their own platforms.

Sharing of information

Information about newsletter subscriptions is not shared with external partners.

Information from website statistics, campaign measurement and analysis may be shared internally and with relevant partners, such as Odense Municipality’s analysis function, VisitDenmark, agencies and business partners. As a general rule, this sharing takes place in aggregated form, such as reports, dashboards and statistics.

We do not share information from newsletter subscriptions with agencies, business partners or other external parties for their own marketing purposes.

Transfer to countries outside the EU/EEA

Some of the suppliers we use are international companies. This applies, for example, to Google, Meta and Pinterest.

This means that information may in certain cases be transferred to or processed in countries outside the EU/EEA. When this happens, the suppliers use relevant transfer mechanisms, such as the European Commission’s Standard Contractual Clauses or other lawful transfer mechanisms.

Storage and deletion

We only store personal data for as long as necessary for the purpose for which the information was collected, or for as long as we are required to do so under applicable rules.

Newsletter data is stored for as long as you are subscribed to the newsletter.

Inactive newsletter subscriptions are automatically deleted after 50 mailings, or after 10–11 months.

Analytics data is stored for up to 14 months.

Cookie information is stored in accordance with the expiry periods stated in the cookie overview on the website.

Relevant internship enquiries are only stored for as long as they are current for the upcoming internship period.

Unsolicited job applications are not processed and are generally deleted.

Your rights

You have a number of rights under data protection rules.

Among other things, you have the right to:

  • Access the information we process about you
  • Have inaccurate information corrected
  • Have information deleted in certain cases
  • Have the processing of your information restricted in certain cases
  • Object to the processing in certain cases
  • Receive information you have provided to us in a structured, commonly used and machine-readable format in certain cases
  • Withdraw your consent if the processing is based on consent

If you withdraw your consent, this does not affect the lawfulness of the processing that took place before the consent was withdrawn.

Complaint to the Danish Data Protection Agency

If you are dissatisfied with the way we process your personal data, you have the right to lodge a complaint with the Danish Data Protection Agency.

We may update this privacy policy if there are changes to our processing of personal data, the systems we use or the rules that apply in this area.
