New application system makes it easier to bring life to Odense’s public spaces
Odense Municipality has launched a new digital application system that makes it easier for organisers to apply for permission to host outdoor public events.
The new system simplifies both planning and execution – and makes it easier for municipal staff to process applications.
“We see this new system as an investment in the city’s vibrancy. The easier it is to organise events, the more lively the city becomes – benefiting residents, businesses and the cultural scene,” says Søren Windell, Councillor for Urban and Cultural Affairs.
Odense should be a city you don’t want to miss – a place full of life and experiences. And when it becomes easier to organise everything from concerts and markets to fun runs and street theatre, it becomes easier to create a city rich in community and shared moments.
From idea to event – made simple
The new system covers all event types and guides organisers step by step through the application process, clarifying which type of application is needed and what documents must be submitted (e.g. a signage plan). It also advises on any additional permits that may be required and how to apply for them – for instance, the police permit must still be obtained separately.
Throughout the process, applicants are kept informed: first when the application is received – at which point Funen Police are also notified – then when it is sent for consultation with relevant authorities, and finally when the organiser receives the permit and rental agreement. Applicants may also be contacted if further information or clarification is needed.
The system gathers all relevant information in one place and will be further developed in close dialogue with users.
“We know many people want to contribute to a more vibrant city. This system makes it easier to be an organiser. We hope it will be well received and look forward to developing it further with feedback,” says Søren Windell.
Version 1 has already been tested by selected organisers.
“When planning events, there’s a lot to consider – so we appreciate that Odense Municipality involved us in the development. For us, it’s important that the system is not only functional but also intuitive and that as much as possible is accessible in one place. We look forward to using it,” says Anja Følleslev, Head of Secretariat at Generator.
The system also provides municipal staff with a better foundation for faster, more efficient application processing and easier internal coordination. The application form is available on Odense Municipality’s website.
Digital area calendar
The municipality is also developing a digital area calendar that will give residents, nearby communities and local businesses an overview of when public areas in the city are booked. The calendar will draw data from the new application system and is expected to launch in spring 2026.
